We collect a few key pieces of personal information to provide our services effectively. This includes your name, surname, title, email address, and the name of your municipality or organization. This information helps us provide smooth operation of the service. This includes your permissions and access to the app, speaker assignments and minutes generation.
Our storage
Secure Storage: Uploaded files (agendas and recordings) are securely stored in Google Cloud and are only used to provide the functionality that clerks need. The data from meetings is not used for any other purpose.
Tools that we use
Transcript Processing: To extract transcripts, we send recordings to Deepgram. They process the file and discard it afterward. Deepgram only uses the data to generate the transcript and for no other reason.
AI-Generated Minutes: We use OpenAI to generate minutes from the transcript and agenda. OpenAI only uses this data to create the text and does not use it to train their AI models.
Deleting files
Data Deletion: When the "Delete meeting" button is clicked, all related data is irreversibly removed from HeyGov's system, ensuring no further access is possible.
